Mandatory Notes

Mandatory Notes enables text to be distributed to targeted groups or individuals. Microsoft Outlook Notes in an Exchange mailbox are replicated to wireless handhelds as part of wireless PIM Synchronization. The itrezzoAgent EPS can replicate centrally managed Notes to hundreds of users without the need to install software on handhelds or desktops.

The centrally managed Notes can be stored in a public folder, or within the itrezzoAgent Administrator. Some examples of Notes include anything from "How-To" instructions to office locations. For example:

  • Medical Emergency Instructions
  • Shipping Instructions
  • The shipping address for all field offices
  • How to Send a BlackBerry PIN Message
  • Out-of-the-office contact information

Pushing Notes from a Public Folder

If theitrezzoAgent Administrator establishes one or more Public Notes Folders, the responsibility to maintain the content can be delagated to a departmental contact. Once the folder is setup, all of the targets can automatically receive updates and additions that the departmental contact makes.

  1. Open the itrezzoAgent Administrator and expand the EPS container
  2. Expand the Mandatory Notes Container
  3. Right Click Mandatory Notes Folders
  4. Select Choose Folder
  5. Point to the Public Folder which is currently being shared for Notes.
    • It is in this way you can have multiple users updating Notes which can then be distributed to specific users.
  6. Within the Target: Authorized Recipients section select either unique users or Active Directory (AD) Distribution Lists from the Global Address List (GAL)
  7. The next time EPS runs the Notes created will be pushed to the targeted users.

Pushing Notes directly from the itrezzoAgent Administrator

This method is useful for quick Notes that the system administrators wants to push out. It does not require a Public Folder.

  1. Open the itrezzoAgent Administrator and expand the EPS container
  2. Expand the Mandatory Notes Container
  3. Right Click main Mandatory Notes folder
  4. Select Add Mandatory Note
  5. Type or copy the context of the Mandatory Note
  6. Within the Target: Authorized Recipients section select either unique users or Active Directory (AD) Distribution Lists from the Global Address List (GAL)
  7. The next time EPS runs the Notes created will be pushed to the targeted users.
