Custom Contact List

Custom Contact Lists (CCL) provide a way to pull contact information from a backend database and replicate the data to users' Outlook Contacts folders and handhelds' address books. CCL's are like MCL's except that they have the capability to be independent of the merged data that EPS reads. CCL's are part of the Unified Contact Manager

Another capability when using Microsoft SQL is to use a stored procedure to return contact data. The Outlook Contact data can actually vary based on the input parameters to the stored procedure. For example, each sales rep would get all of the Outlooks contacts for their designated region. Each rep might have a different number of contacts based on their account assignments.

Each Custom Contact List can be targeted to a different subfolder, or several CCL's can be merged into a single folder. CCL's can also me merged into a single Public Contact Folder.

How to create a CCL

A CCL can be created using different contacts data sources: SQL database, Microsoft Exchange Public Folders, user's Contacts folder or even using the itrezzoAgent Master Contact Repository (MCR). Perform the following steps to create a CCL:

  • Open the itrezzoAgent Administrator and expand EPS the container
  • Select Custom Contact Lists.
  • Right click this object and select Add CCL. A popup menu will appear on the right side

  • Select any of the above mentioned data sources from that menu. Data source specific instruction is given below

Creating CCL using SQL query

To create CCL using SQL query against a SQL database, please complete the steps below:

  • Open itrezzoAgent Administrator and expand EPS container
  • Select Custom Contact Lists. Right click on it and select Add CCL. As a pop menu appears, click on SQL Query
  • EPS - Custom Contact List window will appear
  • In the Name field, type a name for CCL
  • Type any description in the Description field
  • Click on Edit button within the Connection String section

  • Connection String window will open

  • Select Connection type as SQL Server
  • In the Server name or IP field, type SQL server's IP address or NETBIOS name
  • In the Database name field, type SQL database name that has the contacts data
  • Security type can be either Integrated (if the itrezzoAgent service account has access to the SQL database) or Supply identity
  • If Supply identity is chosen, in the UserID and Password fields enter valid SQL login information
  • Click on OK to go back to EPS - Custom Contact List window
  • A SQL connection string will be auto generated. Click Test to verify connectivity to the SQL server

  • In the Query String section, type in SQL statement to pull selective fields from the SQL database. To learn more about creating a SQL Query, refer to the itrezzoAgent EPS and CCL SQL Connector Wiki.
  • Click Run to view Contacts data from SQL database
  • Click OK to close the wizard
  • Please go to the Targets tab. CCL contact can be pushed to user's default Outlook contacts folder or a Subfolder beneath it

  • By default Use default contacts folder is selected. If necessary, use the drop down arrow and choose Use Sub folder below Contacts
  • Type an appropriate name in Subfolder Name field
  • Optionally check off Delete subfolder if user is no longer a target for this list. This selection will automatically remove contacts from users contacts folder when they are not part of the Recipients list
  • Select either Maintain separate contacts for this list or Merge data from this list to existing contacts
    [Selecting Maintain seperate contacts will create a separate contacts list from any existing contacts list; later one will maintain existing contacts but merge CCL contacts with it]
  • In the Recipients section, click Select... button to open Global Address List (GAL). Select recipient(s) from GAL whom you want the CCL contacts pushed to

  • Click OK and a CCL will be created



Creating CCL using Public Folders

To create a CCL using Microsoft Exchange Public Folders, please do the following steps:

  • From itrezzoAgent Administrator, Expand EPS
  • Right click Custom Contact Lists, click on Add CCL and a new menu will expand to the right
  • Click on Public Folder from that menu
  • EPS - Custom Contact List (Public Folder) window will open
  • Type a name in the Name field, and put a description in the Description field
  • Click on the Folder button
  • Folder selector window will open. Expand available Exchange Public Folders tree and check off a contacts type Public Folder

  • Close Folder selector window
  • Go to Fields tab next to Source Data tab
  • Uncheck any fields that you don't need to send to target users

  • Click on View Data... button to view actual data retrieved from Exchange Public Folder
  • Go to the Targets tab. Configuration under this tab is identical to configuration for SQL query
  • Click on OK and a CCL will be created



Creating CCL using Mailbox

To create a CCL using Mailbox folder from Exchange server:

  • Open itrezzoAgent Administrator, Expand EPS
  • Right click Custom Contact Lists, click on Add CCL and a new menu will expand to the right
  • Click on Mailbox
  • EPS - Custom Contact List (Mailbox Folder) window will open
  • In the Name field, type a name, in the Description field put any description
  • Click on Mailbox... button. Select Mailbox window will open. Select a Mailbox from Microsoft Exchange Server
  • Click on Folder button; Folder Selector Window will open. Check off a contacts type folder

  • Click OK to close Folder Selector
  • Go to the Fields tab. Uncheck any fields that you do not want to pull

  • Click on View data to view contacts data from the selected Mailbox
  • Go to the Targets tab. Configuration under this tab is identical to configuration for SQL query
  • Click on OK and a CCL will be created



Creating CCL using itrezzoAgent MCR

If you need to send most recent and complete contacts data to employees or employee groups, this type of CCL can be used. This CCL uses most recent cached Contacts data from itrezzoAgent Master Contact Repository (MCR). Please complete the following steps to configure CCL using MCR:

  • Open itrezzoAgent Administrator, and expand EPS
  • Right click Custom Contact Lists, click on Add CCL and a new menu will expand to the right
  • Click on Master Contact Repository
  • EPS - Custom Contact List (Master Contact Repository) window will open

  • In the Name field type a name and any description in the Description field
  • Go to the Fields tab. Uncheck any fields that you do not want to pull from MCR
  • Click on View data to view data from MCR
  • Proceed to the Targets tab

  • By default Use default contacts folder is selected. If necessary, use the drop down arrow and choose Use Sub folder below Contacts
  • Give an appropriate name for CCL (contacts) subfolder
  • Optionally check off Delete subfolder if user is no longer a target for this list. This settings will automatically remove contacts from users contacts folder when they are not part of the Recipients list
  • Select either Maintain separate contacts for this list or Merge data from this list to existing contacts
  • In Recipients section, Click on Select to select recipient(s) whom you want the CCL contacts pushed to
  • Click OK to complete and a CCL using itrezzoAgent MCR will be created



Push CCL to User Contacts Folder

CCL can be scheduled to be pushed to User's Contacts folder. Please follow the steps below to configure that:

  • Open itrezzoAgent Administrator
  • Select Servers container on the left pane. itrezzoAgent server(s) will show up in the right pane
  • Select itrezzoAgent server and right click and go to Properties
  • Go to MCC tab and check off Manage Custom Contacts

  • Set Perform update schedule as per your need
    If you need to run manually to do an immediate update, From the Servers container, select itrezzoAgent server, right click and choose Run MCC Now

  • The CCL will be pushed to the target recipients' Outlook Contacts folders and handhelds' address books

Note- Only the itrezzo licensed users will receive the Custom Contacts Lists
